Summary

The Accounts Payable Clerk is responsible for supporting the Accounting Manager in ensuring the smooth operation of the department by performing a variety of accounting duties including accounts payable processing.


Essential Duties & Responsibilities

To perform this position successfully, an individual must be able to perform each essential duty and responsibility satisfactorily.

  • Review all invoices prior to payment to ensure proper approvals and amounts are consistent with the Accounts Payable Policy.
  • Organize and input invoices into the AP system for check processing.
  • Image paid invoices and maintain records in compliance with the approved retention schedule.
  • Monitor compliance with the purchasing and employee reimbursement guidelines.  Report discrepancies to management.
  • Distribute monthly vehicle and credit card statements to respective users and allocate expenses accordingly as receipts are submitted.
  • Record and allocate invoices using the specified allocation methodology based on the invoice characteristics.
  • Pickup and deliver mail and intercompany documents.
  • Review and approve supply orders submitted from bank personnel.
  • Maintain updated vendor information within the AP operating system.
  • Process and send out 1099-MISC forms.
  • Perform other duties as assigned.

  • Working knowledge of Microsoft Office products and bank information systems.
  • Background in financial institution operating policies and procedures and banking regulations.

  • Ability to communicate orally and in writing in order to convey information tactfully and effectively to all levels of employees and customers.

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar, including the ability to comprehend written sentences and paragraphs in work-related documents.

  • Ability to establish productive business interpersonal relationships with others inside and outside the organization and to work with little direct supervision in carrying out the responsibilities assigned.

Required Education and Experience

  • High School Diploma or the equivalency.  Associate’s degree in Business, Finance, Accounting or the equivalent is preferred.
  • One (1) year experience in accounting or bank operations / teller duties.


Other Requirements

  • May be required to attend activities outside the bank to stay abreast of new developments, best practices, and statutory and regulatory changes.
